Part Time Office Manager/Receptionist (London)

Job Description:

Position: Office Manager/Receptionist (part time)
Based: London
Salary: Competitive

This is an exciting opportunity to take on a varied role; that will be the principal point of contact for calls and visitors and provide proactive administrative support to the team in London.

The ideal candidate will have excellent organisational, communication and interpersonal skills as well as accuracy and attention to detail. If you have previously worked in a similar setting and/or as a personal assistant and are now looking for some flexibility – this is the role for you.

This is a part time role, 25-35 hours per week, Monday to Friday.

You will be expected to act as the first point of contact for the office, meet & greet visitors, handle inbound calls and monitor inbound email inquiries and mail. Responsibilities will also include, but are not limited to:

  • providing administrative support to the team as and when it is needed, including preparing for meetings/events and arranging catering/refreshments etc.
  • diary management – organise and maintain senior team diaries and meeting room bookings
  • manage the external archive and storage records and interactions with the outsourced provider
  • arrange travel and accommodation
  • organise events such as drinks, lunches, and dinners as and when required etc.
  • taking ownership of keeping the office tidy and in order plus other general office duties
  • maintenance duties including ordering office supplies and office filing systems
  • managing our external building partnerships including our cleaners, facilities suppliers, and liaising with our landlords
  • maintaining the CRM system and supporting other ad hoc projects.

What you need to succeed:

  • Office administration or office management experience
  • advanced MS Office skills, particularly Outlook, Windows, Word, PowerPoint and Excel
  • be self-driven, enthusiastic, and reliable with good organisational skills
  • able to build strong relationships with the team you must be a team player and work collaboratively with the team
  • excellent interpersonal and communication skills
  • proactive, enthusiastic, and driven approach
  • excellent attention to detail and accuracy
  • ability to work in a fast-paced environment, prioritise and work to deadlines
  • professional and able to maintain confidentiality and discretion
