Position: Office Manager – Maternity Cover (part time)

This is a part time role, 25-35 hours per week, Monday to Friday, circa 12 month contract as maternity cover.
This is an exciting opportunity to take on a varied role; that will be the principal point of contact for calls and visitors and provide proactive administrative support to the team in London.
The ideal candidate will have excellent organisational, communication and interpersonal skills as well as accuracy and attention to detail. If you have previously worked in a similar setting and/or as a personal assistant and are now looking for some flexibility – this is the role for you.

The role & responsibilities:
You will be expected to act as the first point of contact for the office, meet and greet visitors, handle inbound calls and monitor inbound email enquiries and mail.
Responsibilities will also include, but are not limited to:
- Providing administrative support to the team as and when it is needed, including preparing for meetings/events and arranging catering/refreshments etc.
- Diary management – organise and maintain senior team diaries, and meeting room bookings.
- Mange the external archive and storage records and interactions with the outsourced provider.
- Arrange travel and accommodation.
- Organise events such as drinks, lunches, and dinners as and when required etc.
- Taking ownership of keeping the office tidy and in order plus other general office duties.
- Maintenance duties including ordering of office supplies and office filing systems.
- Managing our external building partnerships including our cleaners, facilities suppliers, caterers and liaising with our landlord’s agent.
- Maintaining the internal CRM system and supporting with other ad hoc projects.
What you need to succeed
- Office administration or office management experience.
- Advanced MS Office skills, particularly Outlook, Windows, Word, PowerPoint and Excel.
- Self-driven, enthusiastic, proactive, and reliable with good organisational skills.
- Able to build strong relationships with the team you must be a team player and work collaboratively with the team and other colleagues.
- Excellent interpersonal and communication skills.
- Excellent attention to detail and accuracy.
- Ability to work in a fast-paced environment, prioritise and work to deadlines.
- Professional and able to maintain confidentiality and discretion.
